Microsoft Outlook
Most people only use a fraction of what Outlook has to offer. It's much more than an email application. You'll discover how Outlook can help you
- schedule tasks
- keep track of multiple diaries
- file your emails
- coordinate meetings with colleagues
- manage your contact information, an
- create task requests for others to perform.
This workshop will help you unlock what Outlook can do. You'll learn:
- Find emails with one click
- Create an search icon you can use repeatedly to find emails matching your criteria - such as "From a specific person", with “Specific Words in the Subject” and "within a date range"
- Write your To Do List without typing a word.
- Outlook is more than just emails and contacts - we'll show you how to manage your time and workflow.
- Need to action an email? Don't bother retyping in your To Do list. With one click, your email will appear in your To Do List - it's that easy. (You can even specify the due date.)
- Convert items on your To Do List into appointments. For example, drag "Call John about marketing strategy" into "4pm Friday".
- Convert appointments into meetings. For example, "Invite Mary and Susan to phone conference with John about marketing strategy"
- Smart Scheduling - Preview your team's free and busy schedule and propose a suitable meeting time.
- You'll always be on top of meeting responses as you can instantly display RSVPS to see who will be attending and who won't.
- The date, time, duration and subject are all you need to create an appointment; so just click and type.
- Simply "stretch" the appointment to increase the duration or apply advanced features such as recurrence and alarms.
- Easily categorise with coloured appointments.
- Differentiate between work categories or work / personal by assigning a different colour to each. (Outlook can even recognise which category and automatically colour it for you.)
| Even though your workshop is based on Outlook 2007, it's also designed for users of Outlook 2003 and earlier. You'll learn many time-saving tools and functions that will help you get more done in less time, regardless of which version of Outlook you use. |
By the end of the course you will be able to:
- organise and work with mail folders
- use the search facilities to locate email messages
- work with message views
- create and use rules to manage your email messages
- format email messages and use special features to control how emails work
- schedule appointments and events in your calendar
- schedule meetings using Microsoft Outlook
- monitor and manage your contacts within Outlook
- create and work with task requests
- competently work with file and item attachments within email messages
- use the search facilities to locate email messages
- work with message flags and reminders
- deal with junk email effectively
Importantly, you'll learn the smart and safe way to archive old messages so that you don't slow Outlook down - but can access the messages easily when you want them.
You'll learn how to use rules to manage your emails efficiently, create hyperlinks within messages, customise stationery and use Outlook as an effective Customer Relationship Management system.
Most importantly, this course is not just about showing you the features of Outlook, it will equip you with effective time management skills that will supercharge the way you work.
